Executive Assistant Job Brief:

Executive assistants are the main supporting role/position to company Directors and Senior Management Team associates. They perform a critical role in the effective and smooth running of an organization by being available to provide, administrative assistant, document creation, research and general supportive duties to key organizational members.

The main duties and responsibilities of an executive assistant include:

  • Providing support services to the company Director or Senior Management Team member they are responsible to;
  • Working closely with the Director/Senior Management Team to ensure the smooth running of the organization/department through the delivery of effective administrative tasks and projects;
  • Providing support in the delivery or key assignments and initiatives;
  • Liaising with other departmental heads and external stakeholders as and when required;
  • Effectively manage diary appointments, attend meetings, take minutes and create/disseminate meeting minutes on a regular basis;
  • Ensure that correspondence and relevant documents are created and sent in a timely manner;
  • Coordinate departmental reports and send out documents to all key stakeholders and clients;
  • Provide suitable support services to enable the Director/Senior Management Team members to achieve the company strategic objectives;
  • Carry out analysis and research as directed by the company Director;
  • Provide administrative support to the company Director/Senior Management team when creating company policies and procedures;
  • Manage and organize daily work tasks, meetings and appointments;
  • Arranging and facilitating meeting rooms/vents and booking other important key destination points and locations to ensure the smooth running of daily activities;
  • Follow up on meeting action points as and when raised.

TIP #1 – Organizing, planning and delivering outstanding levels of service form part of the competencies of an effective Executive Assistant. Prior to your EA interview, be sure to provide specific examples where you have already carried out duties and tasks that are similar to those required within the job description.

You may also decide to include REFLECTION at the end each answer, to demonstrate you have the important ability to reflect on your performance and continually improve/develop.
